If you want to print or save a pupil tracking table, the easiest way to do this is by exporting it to Excel. When you have loaded a table, pressing the Export to Excel the Pupil Tracking Table into Excel creates a printable tracking sheet, and gives you the option to carry out more analysis using the tools provided by Excel.



Before you click Export to Excel, you will need to generate a table that contains the pupils and any subjects that you wish to see in the export. Once you are happy with your table, clicking Export to Excel will open a screen (shown below) where you can make choices about what information you would like to export and what form this should take.



Information about your selection is given in the top section and Selection Options. If you have made more than one selection, you can specify which one(s) you would like to be exported.


Pupil Tracking Options:


The green control bar allows you to specify the data that you want to add into your export. It mirrors the one shown when you displayed the table and you can find out more about the various options on the Controlling the Table help page.


You can choose to display data as Scores (e.g. 40-60 Beg, 3Dev or 4Bronze+) or Points (e.g. 24). The usefulness of these options will depend on the framework you are using.


You can then choose to generate a Simple Export. This is mostly used for when you wish to export information to send to the Local Authority or so that you can import data into another system. If you want to use any of the group tracking options, you should leave 'No' selected here.


Group Tracking Options:


If you only want a pupil table to be exported, you do not have to do anything in this section. You can find out more about the options available on the Group Export help page.


After you have selected your choices, click Generate Export.



Once your file has generated you can click on the link to open your file in Excel



When you open your file you will see a table displaying all the information you have selected.


You have full access to all of the features of Excel that you would normally have in a spreadsheet e.g. you can add or remove columns, insert formulas and sort your columns.


If you want to print the table, you should first look at the document using Print Preview. You may find that you need to make some changes to the Page Layout in order to print it out as you wish. The operation of these features varies depending on the version of Excel you are using so you should refer to the help within Excel if you are unsure.




At the top of each column, you will see an arrow. These gives you access to the Auto Filters which allow the information displayed in each Excel column to be further refined.


You will have a number of options for sorting by each column. You will also have some options for filtering. You can choose to filter on each column so only pupils with particular data will shown in the table whilst others are hidden. For example, you may want to filter your table so only the boys are visible.
